The Role
We’re looking for a Bookkeeper & Contract Manager to join our team in Alconbury Weald. This is a key position that combines accounting responsibilities with client contract management, helping to ensure the smooth financial and operational running of our business.
Key Responsibilities:
Bookkeeping & Financial Management
- Record and reconcile all Amazon marketplace sales across UK and EU (FR, DE, ES, IT).
- Reconcile settlement reports with bank deposits and manage all bank and credit card reconciliations.
- Process purchase invoices and expense transactions.
- Prepare client billing for agency services.
- Monitor VAT across multiple jurisdictions and complete UK/EU VAT returns.
- Maintain accounts payable and receivable ledgers.
- Produce monthly management accounts, P&L statements, and financial reports.
Payroll & HR Coordination
- Liaise with our external HR/payroll provider for monthly payroll runs.
- Verify payroll data accuracy, including hours, leave, and statutory payments.
- Manage PAYE, National Insurance, pensions, and HMRC payments.
- Maintain up-to-date employee records and handle payroll-related queries.
Contract & Client Management
- Maintain a database of all client and supplier contracts, including key dates, renewals, and terms.
- Ensure all client agreements are compliant and up to date.
- Support onboarding of new clients — checking documentation, setting up accounts, and ensuring compliance.
- Oversee client invoicing according to contractual terms and manage credit control.
- Monitor overdue accounts, issue payment reminders, and coordinate debt recovery procedures.
- Track and manage contract performance, variations, and renewals.
Risk & Compliance
- Ensure GDPR and data protection compliance within all contracts.
- Maintain business insurance records and monitor contract insurance requirements.
- Identify risks in client agreements and propose mitigation strategies.
- Support continuous improvement of contract templates and financial processes.
